We harness business as a force for good and partner with impact organizations to lighten their load and further their purpose. We create remote, impact employment where our team members and clients are valued and supported in their efforts to advance us all toward a more sustainable world. About the Role

Client Specialist – Business Operations
Wage Information – $23.00‑$26.00/hr – high level of HubSpot experience required

The Client Specialist – Business Operations plays a key role in keeping our client CEOs organized, efficient, and moving forward. You will partner closely with CEOs to streamline operations, support business development, and ensure a smooth contracting and onboarding experience for their clients.

This position involves daily check‑ins with the CEO to identify priorities, move projects forward, and ensure critical items receive attention. You will maintain CRM pipelines, advance sales opportunities, coordinate meetings, and follow up with prospects and clients. You'll also run short‑term projects and may act as the gatekeeper of the CEO's time and focus.

A strong portion of this role includes handling contracting workflows—preparing agreements in HubSpot, tracking paperwork through completion, interfacing with client teams, and occasionally onboarding into client systems. This requires persistence, great communication, and a positive sense of humor during follow‑ups.

We value proactive initiative, professionalism, curiosity, and a solutions‑focused mindset. You should enjoy creating order out of chaos and contributing ideas that help our clients' businesses grow.

This is a part‑time, remote role that may include occasional weekend work to support board or advisory meetings.

  • CRM sales pipeline maintenance (HubSpot required)
  • Create and maintain contracts using HubSpot templates
  • Initiate invoicing from HubSpot
  • Coordinate contracting details with CEOs, EAs, HR, and client contacts
  • Conduct persistent follow‑ups to ensure signatures and documentation progress
  • Support onboarding to client systems (e.g., insurance, bank verification, vendor setup)
  • Complete miscellaneous client paperwork and compliance documentation
  • Research for writing and client strategy
  • Insurance agency and cyber‑insurance coordination (periodically)
  • Occasional document reviews, seasonal gifting, and administrative logistics

  • Fluency in spoken and written English (second language a plus)
  • Strong communication and problem‑solving ability
  • Proactive self‑starter with excellent judgment
  • Highly detail‑oriented with strong organization skills
  • Positive attitude and persistence—especially during follow‑ups
  • Strong tech proficiency: multitasking across browsers, tabs, and tools, experience and interest in AI is a plus
  • CRM experience required (HubSpot)
  • Reliable home workspace: quiet, distraction‑free, with a closing door
  • Hard‑wired Ethernet connection; minimum 50 Mbps download / 5 Mbps upload speeds
  • To ensure the security of client data, team members may NOT use satellite or public network connections. Depending on the team, VPN may not be allowed.

Benefits Package

  • Employee (not contractor) status at a socially‑minded company
  • Paid training
  • Option to participate in medical, dental, and vision insurance programs (we cover 75+% of the basic plan premium)
