ROLE MISSION

The Administrative Assistant plays a key role in ensuring the organization operates efficiently and effectively. This position supports day-to-day operations by coordinating administrative activities, facilities, vendors, and logistics while maintaining a safe, organized, and productive work environment. The role takes a proactive approach to anticipating operational needs, improving processes, and fostering collaboration across departments to support overall business success.

POSITION INFORMATION

The primary role of this position is to serve as a key operational support partner, coordinating a wide range of administrative, facilities, and vendor-related tasks to ensure the smooth functioning of the organization. This includes overseeing procurement processes, maintaining positive vendor relationships, coordinating mail and courier services, supporting event planning, and maintaining accurate records and reports.

The individual in this role is responsible for handling logistical tasks such as scheduling, travel arrangements, and office inventory management, while also supporting financial activities like invoice reconciliation, expense tracking, and budget monitoring. They are the primary resource for employee badge systems, coordinate safety and security protocols, and support compliance activities such as shredding and recycling. By acting as a reliable point of contact for vendors, staff, and management, the position ensures effective communication, fosters collaboration, and addresses operational challenges before they escalate.

KEY RESPONSIBILITIES

  • Manage vendors and oversee local procurement processes
  • Handle administrative tasks such as scheduling, correspondence, and travel arrangements
  • Support financial activities, including expense reconciliation and invoice management in SAP
  • Support and coordinate facilities operations, including maintenance requests and badge systems
  • Coordinate mail, courier services, and logistics
  • Assist with organizing events and employee programs
  • Ensure compliance with document management, recycling, and safety procedures
  • Track reports, KPIs, and order statuses
  • Perform various miscellaneous tasks to support overall operations across departments


Qualifications

QUALIFICATIONS / REQUIREMENTS
Education (School/Specialization) Associate Degree in business or similar preferred
Primary Language Fluent in English
Years of Experience 5+ years of experience in an administrative or executive administrative role within a corporate environment
