Administrative Services Assistant (Field Clerk)
We are seeking a dedicated and detail-oriented Administrative Services Assistant to join our team in Eugene, OR. This full-time contract position, also known as a Field Clerk, provides essential administrative and confidential support to a District Operations & Maintenance (O&M) Manager within a field-based organization.
The role serves as a key liaison between departments, work units, and management support staff, helping ensure effective communication, coordination, and operational efficiency.
Responsibilities
Provide a variety of confidential administrative and clerical support to managers and staff
Greet and screen visitors, manage inquiries, and schedule appointments
Create, maintain, and post Excel spreadsheets and PowerPoint presentations to SharePoint or similar platforms
Draft, proofread, and review correspondence and documents for manager signature
Maintain tracking systems for action items to ensure timely completion of responses and assignments
Screen, process, and distribute incoming and outgoing correspondence and mail
Coordinate meetings, record and distribute meeting minutes, and manage calendars and schedules
Arrange domestic and international travel, including documentation and logistical coordination
Assist with personnel and administrative tasks such as training, certifications, and authorization tracking
Serve as backup support for other Administrative Assistants and Field Clerks as needed
Support performance management processes and assist with performance appraisal documentation
Coordinate time and attendance reporting and maintain payroll and leave records
Maintain SharePoint sites and manage organizational records in compliance with information governance policies
Participate in organizational events and activities that support employee engagement
Essential Skills
Minimum 6 years of demonstrated administrative or clerical experience
4 or more years of experience using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Intermediate to advanced experience with SharePoint or a similar document management system
Additional Skills & Qualifications
Associate's or Bachelor's degree in Office Administration, Business Administration, Management, or a related field preferred
Strong organizational, communication, and time-management skills
Ability to manage multiple priorities and work independently with minimal supervision
Work Environment
This position operates in a slower-paced professional office environment that supports field-based operations. The role offers business casual attire, somewhat flexible hours, and requires a high level of independence. Work is deadline-driven and often dependent on coordination, approvals, and documentation from multiple parties. Collaboration, adaptability, creativity, and a "can-do" attitude are highly valued.

Pay and Benefits
The pay range for this position is $24.00 - $29.00/hr.
