About the job

We are seeking a detail-oriented Log Accounting Clerk to support the accurate tracking, reconciliation, and reporting of log purchases and inventory across multiple sawmill and veneer operations. The ideal candidate will have a strong understanding of inventory control, log scaling, and supplier settlement processes, with experience in the forest products industry. As a full-time Log Accounting Clerk in the FRG division, you will work closely with the procurement team, log yard personnel, third-party scalers, and the accounting team to ensure timely supplier payments and accurate financial reporting. You will use strong problem-solving skills and well-developed organizational abilities to support multiple client accounts and sawmill locations. This is a remote position.The company prefers candidates located in or near the Eugene, Coos Bay, or Brookings areas of Oregon. Occasional travel to the Albany, Georgia office and to sawmill sites in the Pacific Northwest will be required.

What you'll do

  • Draft, issue, and maintain purchase orders for log purchases by supplier, species, length, and grade. Ensure purchase orders are accurately tied to specific suppliers and delivery expectations, and update them as needed based on delivery changes, scaling adjustments, or operational needs. Maintain organized and auditable records of all log purchase transactions.
  • Receive and process log delivery documentation, including load tickets and scale slips. Coordinate with third-party scaling organizations to ensure timely receipt of official scale data, and verify accuracy of species, volume, length, and grade. Communicate discrepancies or missing information with scalers, suppliers, and internal teams.
  • Validate expansion calculations for loads not directly scaled, estimating volume, species mix, and grade. Reconcile expanded loads with existing and subsequent scale data when available.
  • Track log inventory by deck, including species, grade, and volume. Record log movements from delivery through yard placement, transfer from remote log yards, and consumption. Work closely with log yard personnel to validate physical inventory and resolve discrepancies, maintaining real-time or near-real-time inventory records to support operations and reporting.
  • Tabulate log loads semi-monthly based on verified scale data and purchase orders. Prepare and generate payment vouchers for suppliers, ensuring all payments are supported by accurate scale data and aligned with contractual terms. Respond to supplier inquiries regarding volumes, grades, and payments.
  • Reconcile log receipts, scale data, and inventory records on a regular basis. Identify and investigate discrepancies between delivered, scaled, and recorded volumes, and generate routine and ad hoc reports on log purchases, inventory levels, and usage.
  • Collaborate with the accounting team to support month-end close processes. Provide accurate log inventory valuations, including quantities and cost by species and grade. Assist in calculating log usage, cost of goods sold, and inventory adjustments, ensuring all log-related transactions are recorded in the correct accounting period.
  • Serve as a point of contact for suppliers, third-party scalers, and internal stakeholders, ensuring timely responses to inquiries and addressing issues with a sense of urgency. Establish and maintain strong relationships with stakeholders, providing proactive updates and transparent communication.
  • Work closely with the log procurement team on purchase orders and supplier coordination, with the log yard crew on inventory tracking and physical verification, with third-party scalers on scale accuracy and timing, and with the accounting team on financial reporting and reconciliations. Maintain clear and timely communication across all stakeholders.
  • Ensure compliance with internal controls and contractual requirements. Proactively identify and address risks within the log accounting and inventory processes, recommending improvements where appropriate.
  • Recommend, test, and implement technological improvements or automation initiatives to enhance the efficiency, accuracy, and functionality of log accounting systems and processes.
  • Maintain documentation of business processes for log accounting workflows, ensuring responsibilities are well-documented, standardized, and scalable.

What we are looking for

Education and Experience:

  • Associate's or Bachelor's degree in Accounting, Business, Forestry, or a related field (preferred)
  • 2+ years of experience in log accounting, sawmill or veneer operations, and/or forest products inventory management is highly desired.
  • Solid understanding of inventory tracking, reconciliation, and supplier settlement processes

Key Competencies:

  • Strong communication skills (both written and verbal), with the ability to clearly explain inventory and scaling information to suppliers, log yard personnel, and accounting staff.
  • A strong work ethic and willingness to work non-traditional (and sometimes extended) work hours as required to meet semi-monthly settlement and month-end close deadlines.
  • Ability to maintain accurate records and follow business policies and procedures.
  • Ability to manage multiple client accounts and deadlines simultaneously in a fast-paced environment.
  • Attention to detail and ability to spot discrepancies or errors in scale data, purchase orders, and inventory records.
  • Ability to identify and resolve issues efficiently, especially under tight deadlines.
  • Strong analytical skills, with the ability to interpret scale tickets, log grading information, and inventory data to resolve reconciliation issues.

Desirable Experience and Skills:

  • Experience with LiMS log accounting software, sawmill or veneer operations, or forest products inventory management is highly desirable.
  • Experience with supplier settlement, payment voucher preparation, and reconciliation of third-party scale data.
  • Understanding of log inventory valuation, cost of goods sold, and month-end close processes.
  • Proficiency in accounting and ERP systems, with intermediate to advanced Excel skills.
