Description:

This position provides administrative assistance to a development unit lead and a team of development officers to advance OSU Foundation goals and serves as the first point of contact for key partners including donors and academic partners.

Development Officers, other administrative assistants and campus partners.

Measures of Success

  • Represent the OSU Foundation in a professional manner to external and internal constituents including contact with donors and colleagues on campus.
  • Provide high-quality administrative support to the fundraisers in their cultivation, solicitation, and stewardship of donors.
  • Facilitate collaboration and strategy through effective use of data—entry, sharing, analysis, and reporting.
  • Develop helpful partnerships with other administrative assistants to support a high functioning team.
  • Use available resources within OSU Foundation and the assigned College or unit to advance development work.

Major Duties

Provide higher level administrative support to unit manager.

Provide day-to-day administrative support to a team of development officers including, but not limited to:

  • Travel arrangements and reimbursements
  • Meeting scheduling, preparation and follow-up
  • Data communication
  • Event planning and logistics
  • Attend strategy meetings with campus partners

On a rotational basis, provide back-up support to main receptionist for breaks and lunch hour coverage.

Draft and distribute briefings for events, donor visits and potential donor visits.

Draft Gift Agreements as directed by the Development Officer (obtain signatures as needed).

Write, edit and distribute communication materials for various audiences.

Provide exceptional and courteous customer service to key partners, colleagues and internal / external customers of the Foundation, including donors, volunteers, campus partners, etc.

Be proactive and / or respond to urgent problems and unexpected requests in a timely manner.

Maintain the highest level of discretion and confidentiality at all times.

Perform other duties as assigned

Required Knowledge, Skills and Abilities

Ability to:

  • Handle interpersonal relationships maturely, thoughtfully, and empathetically, including the ability to work with individuals from diverse backgrounds

Comprehensive knowledge of:

  • The mission and purpose of the OSU Foundation.
  • The workload and work needs of assigned Development Officers.

Proven skill in:

  • Proficient use of computer software, including: Word, Excel, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills to both internal and to external audiences.

Physical Requirements / Work Environment

  • While performing the duties of this job, the employee may be
  • Regularly required to stand, sit, talk, hear and use hands and fingers to operate a computer and telephone keyboard.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Regular, predictable attendance is required; may require working on the weekends, after business operating hours and under strict deadlines
  • Constant contact with others (face-to-face, by telephone, or otherwise)
  • While performing the essential functions of the job you may encounter moderate noise (i.e. work colleagues, business office with computers, phones, and printers)
  • Ability to sit at a computer for an extended period of time.
  • This position is non-exempt and eligible for overtime.

Minimum Qualifications

Four year degree and three years of experience as an administrative assistant, or related administrative experience using similar knowledge skills or abilities. Education and experience equivalencies will be considered. Candidates must possess a valid driver’s license, and must be able to travel by varying modes of transportation.
