Description:

Reporting to the Real Estate and Facilities Operations Manager, this position is responsible for general maintenance and coordinating assigned tasks / projects for the Foundation’s Corvallis, OR office and grounds, and for selected facilities activities in the Foundation’s Portland office.

Work Location

The location for this position can be the OSU Foundation’s Corvallis, Oregon office.

Key Partners

Foundation , Our Beaver Nation and OSU Alumni Association staff. Secondary working relationships include the primary office contacts from ON Semi-Conductor (Corvallis office tenants).

Measures of Success

  • Successfully serve as primary contact to all OSUF and OSUAA staff on matters pertaining to building/facility maintenance.
  • Provide timely and satisfactory responses to facilities and employee needs, with full closure to the request.
  • Provide excellent customer service to OSU Foundation employees and affiliates including Our Beaver Nation and the OSU Alumni Association, and including ON Semi as a tenant, as requested.
  • Establish and maintain positive working arrangements with appropriate OSU units, including Transit & Parking Services, Telecom/Network Services, Surplus Property/Recycling, Printing & Mailing, and others as required.
  • Present a professional and welcoming environment for all facilities related activities and duties, at all times; with the recognition that this is a customer service position.
  • Demonstrate a team player, can do attitude, at all times.

Major Duties

Coordinate daily tasks including project-based building, facility and grounds maintenance, service and repair.

Serve as coordinator and liaison for contractors completing projects in or on the Foundation building or the grounds, provide project timeline updates and provide assistance on building maintenance projects as needed.

Be available and prepared to provide prompt landlord/tenant related assistance to the team from ON Semi-Conductor as assigned.

In partnership with the IT, serve as the Foundation coordinator with Oregon State University Telecom; coordinate land line moves, equipment installation and troubleshooting for all staff.

In partnership with IT, provide building access control support as needed.

Monitor and respond to building issues, maintenance, and staff requests. Perform light housekeeping as needed. Monitor the building for needed cleaning and evaluate the quality of the cleaning service provided by contract cleaners; report issues. Adjust, maintain and repair desks, chairs and other workstation equipment, as needed. Coordinate office and cubicle moves as requested.

Serve as primary point of contact for all facilities common area use, including conference rooms.. Ensure that room setup and reset to standard configuration occurs in all areas. Serve as first responder when meeting room set up and take down is needed. Move tables and chairs consistent with room configuration needs, assist with audio/video technology in partnership with the OSUF tech team.

Oversee use of storage and supplies space, maintain general awareness of contents in all storage and supply rooms; maintain and orderly environment at all times in these areas.

Provide service as the OSUF safety and ergonomic coordinator. Acquire additional training as needed, to fulfill this important role.

Oversee and manage the Foundation’s fleet vehicles; ensure timely maintenance, cleanliness, etc. Monitor vehicles on a weekly basis.

Provide the proper process and protocol with respect to lowering and flying the U.S. and state flags.

Working with OSU Transit & Parking Services, coordinate the annual purchase of OSU parking permits “danglers” in support of OSUF/OSUAA & OBN.

Perform administrative functions for the Real Estate and Facilities unit, including processing of facility-related payments.

For selected projects as approved by management, may provide facilities service to the Portland office, OBN and OSUAA.

Perform other duties as assigned.

Required Knowledge, Skills and Abilities

Comprehensive knowledge of:

  • All aspects of facilities maintenance and repair activities
  • General understanding and awareness of vehicle maintenance requirements
  • General understanding and awareness of telecommunications infrastructure

Proven skill in:

  • Proficiency using the MS Office Suite

Demonstrated ability to:

  • Research and create bid specifications and to evaluate bid results
  • Effectively deal with changing priorities and direction
  • Assume ownership of assigned areas of responsibility and independently carry out duties and responsibilities thoroughly and completely

While performing the duties of this job, the employee may be required to

  • Stand, sit, talk, hear and use hands and fingers to operate a computer and telephone keyboard.
  • Use specific vision abilities including close vision requirements due to computer work.
  • Maintain regular, predictable attendance ; be required to work on the weekends, after business operating hours and under strict deadlines
  • Have constant contact with others (face-to-face, by telephone, or otherwise)
  • Uphold the stress of occasional travel to other OSU Foundation offices
  • Perform the essential functions of the job while encountering moderate noise (i.e. work colleagues, business office with computers, phones, and printers)
  • Sit at a computer for an extended period of time
  • Climbing Ladders, crawling in / through low spaces;
  • Hand and Finger Dexterity
  • Moderate to heavy Lifting and Moving

Minimum Qualifications

Associate’s degree and three years of hands-on trades experience. Knowledge of areas such as electrical, lighting and/or plumbing is desirable. A valid Oregon Driver’s license required. Education and experience equivalencies will be considered.
