Description:

Jones & Roth is looking for an experienced executive assistant to join the team in Eugene. The executive assistant provides high-level administrative support to operations leaders by conducting research, preparing statistical reports, handling information requests and performing administrative functions such as preparing correspondence, arranging conference calls and scheduling meetings for executives.

Responsibilities:

  • DOO and Department Lead Support

    • Assist with database maintenance, reporting and data analysis

    • Assist with managing schedules and appointments

    • Type reports, memos, letters and other documents as needed

    • Complete document scanning, filing and retrieval

    • Organize and schedule meetings

    • Record, type and distribute meeting minutes when required

    • Assist with CPA team scheduling through ProStaff

    • Assemble/deliver sensitive information to clients upon request

    • Assist/complete special projects as assigned

    • Act as a backup for reception duties

    • Other duties as necessary

  • Front Desk Assistance:
    • Perform duties of front office team member
    • Answer and direct phone calls
    • Respond to requests for information from clients
    • Backup to reception desk

Qualifications/Skills:

  • Experience with database management and reporting required
  • Strong organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple deadlines and tasks
  • Focus on quality and attention to detail
  • Ability to work with multiple personalities and work styles
  • Team player with a positive “can do” approach.
  • Flexible and able to shift as priorities change
  • Maintains composure under stress
  • Reliable and dependable
  • Two + years of secretarial and/or administrative support experience
  • Associates degree preferred
