Our Mission: Our Children’s Trust is a non-profit public interest law firm that provides strategic, campaign-based legal services to youth from diverse backgrounds to secure their legal rights to a safe climate. We work to protect the Earth’s climate system for present and future generations by representing young people in global legal efforts to secure their binding and enforceable legal rights to a healthy atmosphere and stable climate, based on the best available science. We support our youth clients and amplify their voices before the third branch of government in a highly strategic legal campaign that includes targeted media, education, and public engagement work to support the youths’ legal actions. Our legal work – guided by constitutional, public trust, human rights laws, and the laws of nature – aims to ensure systemic and science-based climate recovery planning and remedies at federal, state, and global levels. We seek legally-binding, countrywide and/or statewide science-based Climate Recovery Plans that will return atmospheric carbon dioxide concentrations to levels below 350 ppm by the year 2100.

Position Summary: The Office and Development Assistant plays a critical role in supporting the overall operations and fundraising efforts of Our Children’s Trust. Reporting to the COO, the Office and Development Assistant will provide support to the operations and development teams including managing the mail, assisting with travel arrangements, and ensuring smooth daily operations of the office. This position also provides support to the fundraising team including gift entry and receipting, donor communication, and donor records management.

Key Responsibilities:

  • Coordinate the processing of incoming gifts and donations in alignment with OCT policies and procedures including the daily preparation and distribution of receipts. Accurately and timely enter all data relating to same and adjust text of receipts and donation acknowledgements upon request.
  • Reconcile all gifts with Finance Manager on a daily and monthly basis.
  • Add and manage constituent records including analyzing information and populating all appropriate data fields where information is available. Report constituents for whom basis information is not available and conduct basic research to complete, as requested.
  • Verify donor data by reviewing, correcting, deleting, or reentering data; combining data from multiple sources when information is incomplete; and purging files to eliminate duplication of data
  • Become expert in OCT’s CRM: NEON, ensuring best utility possible for organization.
  • Promptly pull and provide constituent reports from NEON upon request, regularly provide constituent reports from NEON on weekly basis
  • Pick up and process incoming and outgoing mail to OCT requirements for managing mail.
  • Provide support within the Operations team including credit card entry for the Finance Manager and assisting the HR Manager with onboarding and offboarding logistics.
  • Support event and travel planning and coordinating as requested.
  • Manage the OCT office building: property owner communications, Wi-Fi, equipment, cleaning and resolve issues as they arise.
  • Maintain attentiveness to OCT phone, front desk, and front door including receptionist duties when needed.
  • Keep office shared areas and kitchen tidy and functioning.

Additional Responsibilities:

  • Schedule meetings, conference calls, catering, and AV equipment as needed.
  • Maintain inventory and ordering of office supplies and OCT merchandise.
  • Take notes during staff meetings and distribute.
  • Assist with organizational calendar and events.
  • Prepare the office for visitors and media events.

  • Two+ years of experience in office or fundraising support
  • Experience working with databases including data entry and reporting
  • Proficient in Microsoft Office365
  • Excellent attention to detail and accuracy
  • Ability to handle multiple projects simultaneously
  • Able to work under the pressure of time and frequent requests from multiple sources each having their own timelines and constraints
  • Must be able to deal with sensitive, confidential information discreetly, and according to policies and procedures
  • Strong adaptability to changing organizational needs and ability to adjust job priorities to meet those needs
  • Deep interest in our cause and the ability to develop an understanding of the legal process.

Preferred Qualifications:

  • Bachelor’s degree or equivalent
  • Excellent time management and organizational abilities
  • Prior work experience with non-profit advocacy organizations
  • Metrics driven work ethic

Salary and Benefits: Salary range for this position is $42,031 - $46,952. Benefits include 100% employer paid medical and dental for employee, long- and short-term disability, life insurance, SIMPLE IRA plan, generous vacation, sick and holiday leave including restorative leave after 6 years. This position is part of the OCTWA Bargaining Unit.

Working Conditions/Work Schedule: Work is primarily performed in a standard office setting. Work is primarily performed Monday through Friday; however, evening and weekend hours may be necessary dependent upon deadlines and workload.
